This is How to Write a Termination Letter

If you're thinking of making a career move such as changing your job or leaving the one you have to take new directions, you will need a termination letter. What is a voluntary termination letter?

This text is used to make your decision official and as a document that ends the contract established between the company you work for and yourself. Therefore, it is important to write it following certain guidelines. We explain how to write a termination letter.

Steps to follow:

Step One

Although the important thing is the lines that we will indicate below, there are several voluntary termination letters. Do not get obsessed with using bombastic expressions. It is better to be clear and simple, and remember that you only have to comply with the document's basic points.

Step Two

The first is to address the termination letter to the person in charge of the human resources department or, if your company does not have one, to its officers and workers' relations. It can be, for example, the administrator.

Step Three

Begin the letter by listing this person, their title and department, and the company name and address.

Step Four

The next thing is to date the letter. It's always important to date a letter, but a termination letter is even more important. The termination letter is proof that you have done well and complied with the legal deadlines for termination notice. That date will be the one that proves it.

Step Five

Start the letter announcing that you are leaving the company and that your termination will affect a corresponding day. It includes the number of days, month, and year, and you can also indicate the exact day it falls on (for example, Tuesday, July 19, 2013).

Step Six

The next paragraph states that you comply with this notice with the law or the agreement that regulates your profession.

Step Seven

If you don't know, don't worry. You can use a generic formula such as 'complying with the provisions of the corresponding law.' Remember that you must notify me that you are leaving 15 days early in your job.

Step Eight

Add a request with politeness and courtesy so that they have arranged the settlement and any other settlement that corresponds to you on the day of your termination.

Step Nine

Sign it, both with your handwritten signature and with the full name in writing.

You can include your full information (name and full address) here. Some letter models add it to the top, as they do with the recipient's data.

Step Eleven

And, most importantly, don't forget to make two copies of the letter. When you deliver the letter to your work, they will need to give you one of those stamped and signed copies so that you have proof that you delivered it.
